The Organisation page in Learned

This article explains how to set up and manage your company's formal organisational structure using the Organisation page.

What is the Organisation page?

The Organisation page is a new page in Learned that allows you as an Admin to set up your organisation's formal hierarchy. Here you map out the structure of countries, legal entities, departments and teams, and link employees to the right units.

The Organisation page fully replaces the Teams page. The formal hierarchy and manager-employee relationships are managed through the Organisation page from now on. Existing data from the Teams page is visible on the Organisation page.

 
 

Navigating to the Organisation page

Go to the settings icon in the top right of Learned. In the menu that appears, click Organisation under General settings.


What do you see on the Organisation page?

You see an overview of all organisation units in a tree structure. The table has three columns:

  • Organisation – the name of the unit, with an icon indicating its type.
  • Created – indicates whether the unit was created manually (Manual) or imported via an integration.
  • Members – the number of employees directly linked to this unit.

At the top you'll find a search bar to quickly find a unit and a Show filters button to filter the overview. The arrow button lets you collapse or expand the entire tree structure in one click.


Creating a new organisation unit

Click the purple + New unit button in the top right. You then choose from four unit types:

Type Description
Country          Geographic location where the company operates
Legal entity          Registered company or branch in that country
Department          Division within a legal entity
Team         Small group within a department working toward shared goals

When creating a unit, you give it a name and link it to the correct parent unit. The holding is the Learned environment you are logged into — you do not need to create this yourself. Within it, you build up the hierarchy step by step:

Country → Subsidiary (legal entity) → Department → Team

Click Create to save the unit. It will appear immediately in the tree structure.


Editing, moving or deleting a unit

Hover over a unit in the list and click the three dots on the right. You will see the following options:

  • Edit – update the name or parent unit.
  • Assign employees – open the detail screen to link employees to this unit (see below).
  • Move – move the unit to a different position in the hierarchy.
  • Delete – remove the unit. Deleted units are not permanently removed, but moved to the Bin (found in the settings menu). From there you can restore them.

Assigning employees to a unit

Click on the name of a unit or select Assign employees via the three-dot menu. A detail screen opens with two tabs:

  • Assigned – employees directly linked to this unit. Use the purple Assign button in the top right to add employees.
  • All employees connected – all employees connected to this unit, including employees in underlying units.

You can filter or search the list using the search bar and Show filters. Use the bin icon in the top right to remove an employee's link to the unit.


Why is the Organisation page important for reviews?

The relationships you set up via the Organisation page directly affect how reviews work in Learned.

Validating coaches in reviews
When a review is created or started, Learned checks whether the assigned coach is actually the manager of the relevant employee according to the organisational structure. If that relationship is not set up correctly, the coach cannot be added to the review.

Employee visibility in reviews
When creating a review, a coach only sees the employees linked to them via the organisational structure. If the structure is incorrect, a coach may see the wrong employees — or none at all.

Direct reports vs. coaches
These are two different concepts in Learned. A direct report relationship represents the formal manager of an employee, as set up via the Organisation page. A coach is someone who mentors an employee, but does not need to be the same person as the formal manager. When validating reviews, Learned uses the formal manager relationship from the Organisation page. Always make sure your organisational structure is up to date — missing or outdated relationships can cause reviews to fail or coaches to be invisible.
