Planning and conducting a 1:1 meeting as a coach

In this article we show you how to create and have a 1:1 meeting with your employee.

In Learned, coaches can create 1:1 meetings with their employees, and employees can also schedule a meeting with their coach themselves.

Creating a 1:1 meeting

As a coach you can create a 1:1 meeting in two places. Via the 1:1's page in the left menu bar, where you see an overview of all 1:1's you are a participant of. Or via the profile of your team member, accessible via the settings icon in the top right → Members → click on the employee.

Creating a 1:1 meeting consists of three steps. In step 1 you set the details: you choose a template, give the meeting a name, set a date and time and choose whether it is a recurring meeting. For recurring meetings, it is automatically scheduled for the next 3 years. You can also add a digital meeting link if you have set up a calendar integration. In step 2 you select the guests and indicate whether the meeting is about a specific employee. If you do this, the sidebar of that employee is loaded in the meeting. In step 3 you set the conversation topics. These are the questions that will be discussed during the meeting. You can use topics from a template or add your own.

Conducting the meeting

After creating the meeting, it appears on the 1:1's overview page. All participants receive an email notification. Conducting the meeting works the same way for coaches and employees. Participants can add a comment per conversation topic and add extra topics during the meeting. In a series of meetings, you can navigate to previous and upcoming meetings by clicking on the date at the top.

Summary and next steps

The summary and next steps can be found via the three dots in the top right of the meeting. Notes are automatically saved as a draft and need to be published to be visible to other participants. Next steps can be assigned to yourself or to a conversation partner. Open next steps can be found via the next steps icon in the top right of the navigation bar or via the home page.

If you have the AI Expert package, you can have the meeting recorded and summarised by AI. After the recording, AI processes the transcript into a summary that you can save as a draft or publish directly.

The sidebar

When the meeting is about a specific employee, that employee's sidebar is loaded. This contains the job profile, goals, previous reviews and insights. Admins and coaches see all tabs. Employees see all tabs about themselves. Guests without a coach role only see the goals they are allowed to see.

Creating insights from a 1:1

You can select text in the meeting, after which an icon appears to send the text to Insights. The insight is automatically linked to the employee the meeting is about.

Exporting the meeting report

All participants can export the report to PDF via the button in the top right of the meeting.

Adjusting settings

After publishing you can still make changes. Name and description are applied to all meetings in a series. Conversation topics can be adjusted per meeting. Dates can be adjusted per meeting or for the entire series. As the creator you can delete a single meeting, the entire series or all future meetings in the series.
