Proactive assistant: automatically collect insights via Slack or Teams

This article explains how the proactive assistant works and how to set it up.

With the proactive assistant, Assist me sends you a message via Slack or Microsoft Teams after a 1:1 meeting or at a fixed time each week. The assistant prompts you for feedback or insights about a colleague, so you can capture valuable observations while they're still fresh.

Navigation: Profile settings → Assist me → Proactive assistant

Enabling as an admin

Before employees can use the proactive assistant, an admin must enable the feature via:

Company settings → AI settings → Proactive assistant

Enable the toggle Proactive assistance enabled. This toggle is enabled by default.

❗ The proactive assistant only works if a communication integration with Slack and/or Microsoft Teams is active. The available channels are shown automatically next to the toggle.


Activating as an employee

Once an admin has enabled the proactive assistant, you can activate it yourself via:

Profile settings → Assist me → Proactive assistant

Use the main toggle to enable the proactive assistant for yourself.

💡 You will only see the proactive assistant setting if an admin has enabled the feature for your organisation.

You can choose how and when the assistant contacts you:

Option 1 — After a 1:1 meeting in Learned

The assistant automatically sends you a message 15 minutes after the end of a scheduled 1:1 in Learned, so you can immediately capture key insights from the conversation. You can select per channel (Slack and/or Teams) on which channel you want to receive the message. This option is enabled by default.

Option 2 — Fixed day and time

Choose a recurring weekly moment for the assistant to reach out — a set time to reflect on the past week or prepare for the next one. You select the day and time yourself, and can edit or remove it at any time. This option is disabled by default.

Maximum number of messages per week

You decide the maximum number of proactive messages you want to receive per week. The default is 2 messages per week, across all active channels combined. You will never receive more than one proactive message per day.


What does the assistant do with your response?

The proactive assistant uses your context and that of your 1:1 conversation partner to ask targeted questions about a colleague. Your response can be:

  • Saved as an insight about the employee
  • Shared with the employee — the assistant will always ask for your confirmation first
  • Shared with others — the assistant will always ask for your confirmation first

❗ The assistant only sends messages via channels that you have connected in your personal integration settings.
